Terms of Service
Last updated: November 11, 2025
These terms explain how ScholarshipAI works and what we ask of each other. We've written them in plain English - no law degree required.
To use ScholarshipAI, you'll create an account. We ask that you provide accurate information when you sign up - accurate profile data is what helps our AI find you the best matches.
You're responsible for keeping your password secure and for activity that happens under your account. If something seems off, reach out to us right away at support@scholarshipai.org.
We grant you a personal, non-transferable license to use ScholarshipAI for its intended purpose:
- Students & Parents: Search for scholarships, build your profile, and apply.
- Counselors: Use the platform to guide students toward funding opportunities.
- Scholarship Providers: List and manage your scholarships to reach qualified applicants.
This license is yours personally - it can't be transferred or sold to someone else.
We've put significant work into building our scholarship database and AI matching engine. To keep the platform trustworthy and available for everyone, we ask that you not:
- Use bots, scrapers, or automated tools to copy or extract our scholarship data.
- Attempt to reverse-engineer our AI algorithms or matching logic.
- Use ScholarshipAI to build a competing product or service.
- Resell or share your account access with others.
- Attempt to probe or test our systems for security vulnerabilities without our written permission.
The spirit of this is simple: use the platform as a student, parent, counselor, or scholarship provider - not as a way to extract data or gain a competitive advantage.
Your content belongs to you. The essays, personal statements, and profile information you submit are yours - always. We will never claim ownership over your work.
When you submit content, you give us permission to use it to run our AI matching process, display it back to you in your dashboard, and improve the overall platform experience. We may also use it to identify relevant opportunities and partner offers that fit your profile.
This permission ends when you delete your content or close your account.
You can close your account at any time by contacting us at support@scholarshipai.org.
We may suspend or terminate accounts that violate these Terms - particularly the acceptable use provisions above. In such cases, we'll act proportionally to the situation.
ScholarshipAI is a matching service - we connect students with scholarship opportunities. We are not a scholarship provider, a bank, or a financial guarantor, and we can't promise that you'll win any particular scholarship.
We work hard to maintain accurate, up-to-date scholarship information, but we can't guarantee perfection. Always verify scholarship details directly with the provider before applying.
We won't be liable for indirect, incidental, or consequential damages arising from your use of the platform. The service is provided "as is" and "as available."
We may update these Terms from time to time. When we make material changes, we'll let you know - by email or a notice on the platform - before they take effect.
If you keep using ScholarshipAI after an update, that means you've accepted the new terms. If you don't agree, you can close your account.
Questions? We're always reachable at support@scholarshipai.org.
Privacy Policy
Last updated: February 22, 2026
Privacy matters to us. Here's a clear, honest explanation of what information we collect, why we need it, and how we protect it.
We only collect information that helps us do one thing better: find you scholarships that fit your unique story. Here's what that includes:
When you create an account:
- Name & email - to identify you and send you match results.
- Login credentials - managed securely through Microsoft Entra External ID.
When you build your profile:
- Academic information: GPA, intended major, career interests, colleges you're applying to.
- Demographic information: address, gender identity, race, and ethnicity.
- Essays and activities: personal essays, supplemental essays, honors, awards, and activities list.
Automatically, when you use the platform:
- Device & usage data: IP address, browser type, pages visited, and access times - used to keep the platform running and improve the experience.
- Cookies: to maintain your session and remember your preferences.
We use your information for the following purposes:
- Scholarship matching: Our AI reads your essays and profile to identify scholarships that align with your story, goals, and background - using embedding similarity analysis and AI reranking.
- Running your account: Authenticating your identity and powering your personalized dashboard.
- Improving the platform: Analyzing usage patterns to make matching smarter over time.
- Communicating with you: Sending match updates, service notices, and replies to your questions.
- Relevant opportunities: Sharing scholarships, tools, and partner offers that may be a good fit based on your profile. You can opt out of marketing communications at any time.
We work with a small number of trusted service providers who help us operate the platform:
- Microsoft Azure - hosts our database, servers, and authentication system.
- Anthropic - powers our AI scholarship matching.
- OpenAI - generates the embeddings that help our AI understand the meaning of your essays.
Each of these providers is bound by contracts that require them to handle your data securely and only for the purposes we've described.
We may also share your information if required by law or legal process, or in connection with a business acquisition or merger - in which case we'd notify you and you'd have the same rights under the new ownership.
Your data is stored on secure Microsoft Azure servers in the United States. We protect it using:
- Encrypted connections (HTTPS) for all data in transit.
- Secure, access-controlled database configurations.
- Token-based authentication to prevent unauthorized access.
No system is 100% impenetrable - we want to be honest about that. But we take security seriously and follow industry-standard best practices to keep your information safe.
We keep your data for as long as your account is active or as needed to provide the service you signed up for.
If you request account deletion, we'll delete or anonymize your personal information within 30 days. We may retain certain information longer if required by law or to resolve disputes - but we'll only hold onto what's genuinely necessary.
You're in control of your data. Depending on where you live, you may have the right to:
- Access: Request a copy of the personal information we have about you.
- Correct: Update your profile at any time from your dashboard.
- Delete: Ask us to delete your account and personal information by emailing support@scholarshipai.org.
- Opt out of marketing: Click unsubscribe in any marketing email, or contact us directly.
We'll always respond to data rights requests promptly and respectfully.
ScholarshipAI is designed for students ages 13 and older. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has created an account, please contact us at support@scholarshipai.org and we'll delete that account promptly.
For students between 13 and 18, we encourage a parent or guardian to review this policy together - especially before submitting essays, demographic information, or other personal details.
When we make material changes to this Privacy Policy, we'll notify you by email or through the platform before those changes take effect.
Your continued use of ScholarshipAI after the update means you accept the revised policy.
